Challenge when Transferring Licenses

Thought I would share this item  in case it happens to anyone else.

 

Issue: Unable to transition a GoToWebinar's from one license holder to a new license holder.

 

We had a GoToWebinar setup through the end of the year, along with a number of gotomeetings.

Note: The GoToMeetings are fine.  They can have co-organizers and we have multiple GoToMeeting licenses.  

The challenge of the GoToWebinar is that we have one license.  

a) cannot assign a 2nd organizer, as that 2nd person doesn't have a license until the license is transitioned

b) when license transitioned, the new organizer cannot see the webinar as it is listed under the old license holder's account

c) the logmein support desk is unable to update the data behind the scenes (or was unable to understand the ask)

d) the community that attends the webinar has participants with no internet access and are hand-delivered the call-in information.  To ensure continuity they need at least two weeks transition time.

 

 

Workaround

a) flip the license back & forth between the two people for two weeks, so that transition and re-registration can occur under the new webinar 

b) setup a new webinar two weeks out under the new license holder

c) flip the license back to the old license holder when running the webinar for two weeks

Thanks for your feedback here.

 

The behavior you described is working as intended.  Webinars were originally designed to be private for the scheduling Organizer, though we're considering allowing for schedules to be re-assigned by admins in the future.

I don't know if you understand what I am referring to; however, let me respond.

 

1.  You can have co-organizers on a webinar, therefore, they are not "private to the organizer".  Any organizer can see them.

The challenge is that when changing your licensing, you cannot move a webinar to someone who is not licensed.  and when they are licensed, they cannot see something created by someone else.

Given that, you end up in a catch-22 situation, and  have to spin up new webinars to be able to have a continuation of service to your attendees.

Another alternative would be to change the Organizer's login email address to the new user instead of swapping the license itself.  This way you would preserve the webinar history under a single Organizer account.

The fun continues. 

No actions were taken on our 1800 resulting in extensive costs to our organizaiton as well as confusion with our customers.

 

Although I really do appreciate what GoToX did for people who were desperate, there are challenges being exposed as those new customers try to convert to licensed software.

I'm sorry, Jayne ---- What actions were you expecting specifically? 

 

Just so we're clear, Co-Organizers on the same account can launch the webinar without the original Organizer being present, but cannot edit the original event themselves.

1.  There was no dialogue regarding call me / 1800.   We appeared to have the functionality after transfer.   Last week, licenses were gone.  No notification.  Service no longer available.   
have now been advised that this item needed to have been discussed, and we are working through licensing and costs. 

Issue: no notification that 1800 was dropping, so no clue that we had lost functionality.  It was our folks who are elderly and on limited means who couldn't join the event as the 1800 wasn't working, and we had no clue beforehand.    It was upsetting to them, especially when combined with the other issues of having to create a new webinar just a few weeks ago, due to issue #2
I am hopeful that when restored we won't have new 1800 numbers assigned to our meeting, as that would be very unsettling.

2.  The part regarding the license of GoToWebinar is that we went from Account A to Account B being the holder of the license. 
Account A is a gotomeeting license holder in our new model.   They previously had an account in GoToWebinar.  Account A had a gotowebinar with 80 guests registarted, and setup as recurring weekly for  a year.
Account B  is  the new gotowebinar license holder 

In the end, we created a new GoToWebinar, scheduled for a year, under Account B.  

We manually then re-reigistered each person (frustrating, as should really be a "copy registrants" or "import registrants" function

We had to do an Urgent notification that it was a new webinar, and call people at home for the new 1800 #'s

OK, should you need to transfer a registrant list from webinar to webinar again, Customer Support can help you if the new webinar registration only requires a Name and Email address.

AshC, that would have been helpful to know when we were calling for support.  Didn't get any help.  Told nothing could be done.

 

The other challenge is that that existing webinar has recordings against it.  We can't get at them now, as they are attached to the other account whichis no longer a licensed user of gotowebinar.

@Jayne L  You can reactivate a login to retrieve recording and reporting files, they remain in place unless the user is deleted completely.
