Multiple sessions of a webinar, but only one ics to download

Hey, we usually schedule one registration page for one event. But now we have three sessions we want to promote under one registration page. Set-up is easy, but we only get one calendar link (ics) to download, only for the first session. Is there any solution out there how we can get the other two links over to the registred persons, too, so they can save it in their calendar?

    Hi petra

Sure, there are a few steps, but it's straightforward once you try it:

    • Download ics file like normal
    • Go to your Outlook Calendar
    • Go to File
    •

    • Go to Open & Export
    • Go To Import/Export

    • An Import and Export Wizard will pop-up, choose Import an ics or vcs

    • You will find the file either in an Outlook Files folder or Download Folder  - click on the Webinar
    • A pop up will ask you to open or import the invite, click on Import

The webinars should now populate your calendar.

Hope this helps, let me know if you have any issues.

  • Dear KateG

I can't find the import feature in Outlook. Do you have Screenshots or a better description of how to get there? Thanks!

Hi petra thanks for getting back to me and the screenshot.

After further investigation, this is a known limitation specific to Outlook and, unfortunately, is not something we can change from our end. What we do recommend is to import the event via the Outlook app instead.  To add all sessions to your Outlook calendar:

    •   Instead of opening the .ics file directly, please use the Import feature in Outlook. Go to **Calendar** > **Import/Export** > **Import an iCalendar (.ics) file** and select your downloaded file. This will add all sessions to your calendar.

If you regularly schedule webinars as a series, you may wish to set them up as a standard recurring event. If you use a custom schedule, we recommend adding a note to your registration confirmation emails instructing participants to manually import the .ics file into Outlook using the steps above.

If you need further help with this process, please let us know!

  • I do receive reminder mails for session 1-3 and in all of them the ics is available for the correct session. But I do not get all of the calendar informations after registration, which is a pitty. But maybe someone has a solution?

  • Hi KateG

unfortunatelly the dates vary, so it's not once a week or so, it's individual dates.

To show you I've just used two dates now, but it'll be three and there is only one ics I get, only for the first date, which is not good.

    Hi petra

Can you share the registration steps you took so I can replicate? There may be alternatives you can try.

If you choose under Occurs Daily, Weekly, etc and Register Once for all Sessions under Registration type you should get an invite for one and have all dates placed on the calendar.

Can you share what you used under Occurs and Registration Type?  I look forward to hearing from you.
